Canadian County, one of the most populous counties in Oklahoma, maintains court records across multiple offices headquartered in El Reno, the county seat. The county’s judicial system falls within Oklahoma’s 26th Judicial District, and its courts handle a broad range of criminal, civil, family, and probate matters. Residents, attorneys, and researchers seeking case documents can access them through the Court Clerk’s Office, sheriff’s records, and various state-operated digital tools.
Oklahoma’s court structure and general information about county-level proceedings can be explored through OklahomaCourts.us. To locate specific case records in Canadian County, the primary options include the Oklahoma State Courts Network’s online docket system, in-person visits to the courthouse during business hours, and written mail requests to the Court Clerk. Public-access terminals at the courthouse provide additional search capability during regular hours. The state courts website may assist users in identifying which court holds jurisdiction over a particular matter and how to access publicly available filings.
How to Look Up a Court Case in Canadian County?
Canadian County court records can be searched using three primary methods: online, in person, or by mail. The approach a person chooses will depend on whether they have a case number, the type of record, and how quickly they need the information.
Online Search via OSCN
The Oklahoma State Courts Network (OSCN) is the state’s free electronic case-lookup system and the most efficient way to find Canadian County case records. Users can search by party name across all Oklahoma counties or by case number if one is known. The system covers District Court filings including criminal, civil, family, small claims, and probate dockets. To search by case number, navigate to the OSCN Court Dockets page, select Canadian County from the dropdown menu, enter the number, and click “Go”. Name-based searches are available through the broader docket search page by selecting the county and entering the party’s full name. Records dating back to approximately 1994 are available online; anything older requires a direct request to the Court Clerk.
When a document icon appears beside a docket entry, that filing can be viewed directly. If the entry notes the document is available only at the clerk’s office, an in-person or mail request is necessary.
In-Person Access
Walk-in record requests and searches can be completed at the Canadian County Court Clerk’s Office during business hours:
Canadian County Court Clerk’s Office
Address: 301 N Choctaw Ave, P.O. Box 730, El Reno, OK 73036
Phone: (405) 295-6100

Note that no financial transactions are accepted after 4:15 PM. Visitors may use public-access terminals in the courthouse to search records, or they may request copies directly from clerk staff. Forms must be completed in blue or black ink. The Court Clerk does not offer case searches by telephone.
Mail Requests
When the case number is unknown, a $5.00 search fee is required. Written requests should be mailed to the Court Clerk at the address above, along with a check or money order payable to Holly Eaton, Court Clerk, and a self-addressed stamped envelope. Include as much identifying detail as possible: party names, approximate dates, case type, and any partial case numbers.
Copy and Certification Fees
| Service | Fee |
|---|---|
| First page of copies | $1.00 |
| Each additional page | $0.50 |
| Certification per document | $0.50 |
| Authenticated (exemplified) copies | $5.00 |
| Name search (no case number) | $5.00 |
Accepted payment methods at the clerk’s office include money orders, cashier’s checks, Visa, Mastercard, Discover, and American Express. The cardholder must be present for credit card transactions, although credit cards can also be processed by phone.
Are Court Records Public in Canadian County?
Oklahoma law establishes a strong presumption of public access to court records. Under Title 51, Section 24A.30 of the Oklahoma Statutes, court records are defined as any document produced during a court proceeding — whether paper, digital, photographic, or microfilm — and are generally available for public inspection.
The Oklahoma Open Records Act requires courts and clerk offices to make records available upon request, subject to applicable fees and narrow statutory exceptions. Canadian County follows these statewide standards.
Records that are publicly accessible include:
- Criminal case filings, charges, plea documents, judgments, and sentencing orders
- Civil complaints, answers, motions, and final judgments
- Divorce decrees and dissolution records (excluding sealed portions)
- Probate filings such as wills admitted to probate, inventories, and final accounts
- Traffic citations and related dispositions
- Small claims filings and judgments
- Land and property-related court actions
Records that are restricted or confidential include:
- Adoption proceedings and sealed adoption files
- Juvenile delinquency and juvenile court records
- Mental health commitment proceedings
- Documents containing Social Security numbers, driver’s license numbers, or other protected personal identifiers
- Grand jury materials
- Records sealed by court order
- Certain protective order details when sealed for safety
These restrictions apply regardless of whether the request is made online, in person, or by mail. If a record has been expunged pursuant to Oklahoma’s expungement statutes, it will not appear in OSCN search results and the clerk’s office will not release it to the public.
Canadian County Criminal Court Records
Criminal matters in Canadian County are heard by the District Court, which has jurisdiction over felonies, misdemeanors, and traffic offenses. The Court Clerk’s Office at 301 N Choctaw Ave in El Reno maintains all criminal case files. Municipal courts within the county handle city ordinance violations independently.
Searching Criminal Court Records
The fastest method is searching OSCN by defendant name or case number. Criminal case records available online typically include the charges filed, arraignment and hearing dates, plea entries, sentencing orders, and post-conviction motions. For records predating 1994, contact the Court Clerk directly at (405) 295-6100.
Criminal Records Through the Sheriff’s Office
The Canadian County Sheriff’s Office Records Division conducts background checks and processes open records requests. Requests must be submitted in writing using the Open Record Request Form and must be picked up in person — the office does not mail, email, or fax records.

Statewide Criminal History Checks
For a broader criminal background search beyond Canadian County, the Oklahoma State Bureau of Investigation offers the CHIRP (Criminal History Information Request Portal). An OSBI name-based search costs $15.00 per request. FBI-level national searches are available for $18.00 through OSBI-approved channels and require fingerprint submission.
Cost Administration and Criminal Fines
Court-ordered fines, fees, and costs are due on the date of sentencing unless the sentencing judge approves a payout plan. Defendants must appear in person to request a payout arrangement. Payments are accepted Monday through Friday, 8:00 AM to 4:00 PM at the Court Clerk’s Cost Administration Department, located at the same Judicial Building address. Those needing assistance with court-imposed financial obligations can review the Affidavit Regarding Ability to Pay or file a Defendant’s Request for Cost Hearing. Applications for appointed counsel are available through the Application and Order for Appointed Counsel form.
Canadian County Civil Court Records
The Canadian County District Court’s Civil Division handles lawsuits, contractual disputes, property matters, and administrative appeals. Civil case filings are classified into three categories based on the nature and monetary value of the claim:
| Case Type | Code | Description | Filing Fee |
|---|---|---|---|
| Civil Jury | CJ | Claims of $10,000 and above | $235.89 |
| Civil Special | CS | Claims of $10,000 and under | $222.89 |
| Civil | CV | Name changes, quiet titles, injunctions, administrative appeals, driver’s license appeals | $157.89 |
| Condemnation | — | Eminent domain proceedings | $222.89 |
A $10.00 summons fee per defendant applies in addition to the filing fee. All fees are payable to the Court Clerk and are non-refundable.
Civil case records — including complaints, answers, motions, discovery materials, and final judgments — are maintained by the Court Clerk and can be searched through OSCN or requested in person or by mail using the standard copy fees outlined earlier.
Small Claims
Small claims fall under the Civil Special category. Individuals who wish to file a small claims case should contact the Court Clerk at (405) 295-6100 for current procedural guidance. Oklahoma is a non-form state, meaning the clerk’s office does not provide pre-printed legal forms for most filings. Litigants must prepare their own documents or consult an attorney.
Court-Ordered Title Proceedings
Canadian County offers a process for residents to obtain a vehicle title through the courts when standard title transfer is not possible. Appointments are scheduled by phone at (405) 295-6203, and the filing fee is $157.89. The required Application for Court Ordered Title is available on the county’s website along with supporting forms for the Notice of Hearing and Certificate of Mailing.
Property Records
Property ownership and assessment records are maintained separately by the Canadian County Assessor’s Office. These can be searched using the county’s online property search tool.
Canadian County Assessor’s Office
Address: 200 N Choctaw Ave, El Reno, OK 73036
Phone: (405) 295-6331
Fax: (405) 422-2406
Canadian County Family Court Records
Family law matters in Canadian County are handled within the District Court. The Divorce Division of the Court Clerk’s Office processes filings for divorce, legal separation, annulment, paternity, and related actions.
Divorce and Dissolution Filing Fees
| Case Type | Filing Fee |
|---|---|
| Divorce with minor children | $255.89 |
| Divorce without minor children | $255.89 |
| Legal separation | $255.89 |
| Annulment | $255.89 |
| Paternity with custody | $255.89 |
| Paternity without custody | $162.89 |
| Divorce/Paternity foreign judgment | $157.89 |
Each case also carries a $10.00 summons fee plus service costs. All paperwork must be submitted in one original and two copies, printed in blue or black ink. Oklahoma is a non-form state, so the Court Clerk’s Office does not supply divorce forms. The Divorce Summons and Entry of Appearance Waiver must be obtained from a legal services provider or attorney.
Key Statutory Requirements
- Under Oklahoma Title 43, Section 107.1, when minor children are involved, no final order may be entered until at least 90 days after filing.
- Under Title 12, Section 2004, service by publication must run for at least 41 days.
- Court Rule 27 provides that no hearing may occur until the petition has been on file for at least 10 days (in cases without children) and the waiver of appearance has been signed no earlier than one day after filing.
- When minor children are involved, both parents are required to complete a parenting class before a decree is entered.
Custody, Support, and Domestic Violence
Custody and child support matters are administered through the District Court’s family docket. Protective orders, including emergency and final orders of protection, are filed through the Court Clerk. Information about personal protection orders is available on the county website.
Marriage Records
Marriage licenses are issued by the Canadian County Clerk’s Office, a separate office from the Court Clerk:
Canadian County Clerk
Address: 314 W Rogers, El Reno, OK 73036
Phone: (405) 295-6130
Hours: Monday–Friday, 8:00 AM–4:30 PM
Marriage license records in Canadian County are public and may be inspected or copied through the County Clerk. Divorce decrees are filed with the Court Clerk and are searchable through OSCN.
Birth and Death Certificates
Oklahoma birth and death records are not public records. Under 63 OK Statute Section 1-323, birth records remain closed for 125 years and death records for 50 years. Certified copies are obtained through the Oklahoma State Department of Health, Vital Records Service:
Oklahoma Vital Records Service
Address: P.O. Box 248964, Oklahoma City, OK 73124-8964
Phone: (405) 426-8880
Fee: $15.00 per certified copy
The application form for birth certificate requests is available from the state health department.
Canadian County Probate Court Records
Probate matters in Canadian County are heard by the District Court and managed through the Probate Department of the Court Clerk’s Office. The court oversees the administration of decedents’ estates, judicial determinations of death, and related filings.
Probate Filing Fees
| Filing Type | Fee |
|---|---|
| Probate of Estate | $207.89 |
| Judicial Determination of Death | $212.89 |
Because Oklahoma is a non-form state, the Court Clerk’s Office does not provide probate forms. Petitioners must obtain the necessary documents from an attorney or legal resource. While retaining counsel is not legally mandated, probate procedures can be procedurally complex, and professional guidance is strongly recommended.
A historical probate case list (1899–current) is published on the Canadian County website and can be used to identify older case numbers before requesting copies.
Searching Probate Records
Active and recent probate filings can be searched on OSCN using the case number or the decedent’s name. For pre-1994 filings, contact the Court Clerk’s Office at (405) 295-6100 or visit the Judicial Building in person. Copy fees follow the standard schedule: $1.00 for the first page and $0.50 for each additional page, with $0.50 per certification and $5.00 for authenticated copies.
Steps to Request a Probate Record by Mail
- Identify the case number (search OSCN or include a $5.00 search fee if unknown).
- Prepare a written request specifying the decedent’s name, case number if available, and documents needed.
- Include a check or money order payable to Holly Eaton, Court Clerk, for applicable search and copy fees.
- Enclose a self-addressed stamped envelope.
- Mail the request to: Court Clerk’s Office, 301 N Choctaw Ave, P.O. Box 730, El Reno, OK 73036.
Probate records, including wills admitted to probate, inventories, accountings, and final distribution orders, are generally public unless sealed by court order. Guardianship and conservatorship records filed within the probate docket follow the same access rules, though certain records involving incapacitated persons may contain sealed medical or financial information.
Municipal courts throughout Canadian County — including those in El Reno ((405) 295-9320), Yukon ((405) 354-4264), Mustang ((405) 376-4521), and Piedmont ((405) 373-5216) — maintain separate dockets for city ordinance violations and are not part of the District Court record system. Inquiries about municipal court cases should be directed to the individual city court offices.
